Question 1

Is it legal to keep the trip sheet in Excel?

Accepted Answer

Yes. The Romanian Tax Code norms require a minimum content (vehicle category, purpose and place of the trip, kilometres driven, own consumption norm), not a standard form or a specific program. The sheet must reflect real trips, with a continuous odometer, and be kept for 5 years.

Question 2

How do I calculate standard consumption in Excel?

Accepted Answer

Km driven × own consumption norm / 100. The template has the formula ready: enter the norm in the header and the odometer at departure and arrival, and the litres appear on each line and in the total.

Question 3

What if some kilometres are not covered by the trip sheet?

Accepted Answer

The difference between the odometer and the sheets is treated as private use, and VAT and vehicle costs fall under the 50% regime (art. 298 and art. 25 or 68 of the Romanian Tax Code).
